  • 1.  Timesheet hours for billing versus actual hours worked

    We have negotiated for contractors that are not paid overtime.  However there are times, out of the goddnes of their heart, that they work overtime.  Our dilemma is that we use timesheet hours to forecast costs and generate an accural for work performed, however if we capture actual hours that may exceed (hence over-accrue and over-forecast) the hours that will be billed.  If we only allow them to record 40 hours on their timesheet so it will match billing that decreases our ability to compare schedule estimates to actuals or generate accurate earned value. Any advice on how to resolve?

    If you're using the Financial Management module, there is an option in the Rate Matrix to have a "standard rate" (i.e. your Contractor Daily Rate divided by 8) and an "overtime rate" (i.e. $0). That way when you view Actual hours/cost it will calculate based on the standard rate for 8 hours, then the overtime rate. Note we looked into this but never implemented it, so I'm not sure if it works as advertised. Note also that if you're using 7.5.x and you have a large number of resources (and/or projects), the Rate Matrix extract job can quickly become overloaded and take a long, looooong time to run!

    You can also use different attributes to control this information such as charge code and there are two user lookup value attributes that can be added to the timesheet and used in the financial cost plans for group by.  Therefore, you can have different attribute values to denote the difference and have it come out on the cost plan as separate line items as well if that attribute is used as the group by.for more implementation advice, please contact your Services Consultant.

    We setup a dummy project to capture all NON project capital hours. Works great for all contractor non billable hours.

    You can create a subobject of Resource, name it as Overtime (which will act as an Overtime Indicator).

    The resource can mention the overtime details like -

    1. date from
    2. date to
    4. Project ID
    5. Task ID
    3. a checkbox to indicate that the resource worked overtime
    4. text field to indicate the number of hours worked overtime

    You can then pull-up a report, which needs to be approved by the PM / RM, and then create transaction entries for the dates mentioned.

    In case you want that the hours on the project for the resource to reflect the hours actually worked by the resource (including the overtime hours), then you can run the Import Financial Actuals job to post the financial hours on the project.
