  • 1.  Time Tracking Against Projects - User Adoption

    We are struggling to get our users to track their time worked against projects. We would like feedback from the Clarity Community.
    • Do you ask your users to track time?
      • If yes, do you have a high (70% or higher) adoption rate?
      • If no, why not? Did you ever? Have you considered it?
    • If you have a high adoption rate, what steps did you take to get there?
    • If you DO NOT have a high adoption rate, are you working on increasing it? What steps have you taken?

    We encourage users to track time for two main reasons.
    1. We want to compare our Allocation Estimates to Actuals.
    2. We have the ability to utilize R&D time for tax Credits, so would like cleaner reporting.
    We have some Executive buy in, but they are reluctant to push this with staff because of the complaints they have heard about how much time it takes. We are looking at options to make it easier:
    • Use the Totals field instead of asking for tracking by day. 
    • PMs track the meeting times and either use a Team or upload a spreadsheet to get the time entered.
    • Have generic tasks like "General Project Work" so they don't have to track to specific activities. (This is least desirable for Tax Tracking purposes.)

    Hi Jennifer,
    It has been my experience, when I was a customer, to

     Somehow tie entering time to compensation.  Though this may not be an option.  

     It is also imperative to have buy in from the top so the importance is emphasized from the top down.
     Explain why it is important.. as you mentioned some of the reasons

    As for the amount of tasks to charge to or using the weekly option,
    That is up to you depending on what level of detail you want to report on.
    If all you want to do is report project work by project, maybe one time entry task on a project is enough.
     - Note that the more tasks that show on a timesheet, the less likely you are to get accurate reporting.  Users can get overwhelmed.

    You may want to start out as **** as possible so users start entering their time regularly with as little effort as possible and then make it more detailed as time goes on.
