  • 1.  Changes to Availability hours Impacting Capacity vs Deman Reporting

    Posted May 01, 2017 11:17 AM

How do  organizations handle a change to the availability hours when an employee who is full-time (7.75 hours/day) changes to part-time (3.875 hours per day). When  the Availability hours are revised to reflect the change in hours the capacity vs demand report shows the capacity hours for past periods (history) as the new part time hours. This makes it look like the resource was over-allocated when in fact they were not.

Is there a way to change the individual resource availability hours from a specific date (April 1, 2017) going forward without changing the historical reporting/data?

    Hello Lynn,

What product is this request concerning? Application Performance Management typically does not report data on employees.

    Hi Kells:

You appear to have posted a PPM issue in the APM group. Moving it there. Please be careful in the future on which group you post. Else you may get a delayed response

    Thanks

Hi Lynn, I am assuming that your question is related to PPM as Hal and Thomas have redirected.

Our organisation does it in a pretty rudimentary way - as we have few part-time resources. We have an 'Other Work' investment created for Part-Time resource allocations. Access to managing resource allocations for this is restricted to a select team of Workforce Managers who also manage the approval processes for the work engagement to be part-time. So if a resource moves to being part-time (say 4 days a week), they allocate 0.2 FTE (1 day a week) of the resources time in the detailed team plan from the appropriate date. This means that 20% of the allocation is accounted for already, and the resource needs to then be managed for work demand against the remaining 4 days to properly manage utilisation.

It makes it easy for us to then report against everyone having an availability of 100%, with the part-time resources properly accounted for by the Other Work investment. It is manual though, and heavily reliant on the team of Workforce Managers.

We would ideally like to source this information from our HR systems - which is what we are driving to, but our HR systems are not at the right level of maturity either from an application perspective or the people processes in using this platform.

    Regards,

    Chris

The best way to do this is to go to the Resource's Calendar and update their schedule from April 1, 2017 forward to reflect their new shift schedule. This will calculate and update their availablaity for that date forward.

In Clarity 13.3, we do not see a spot to update the shift schedule from a given date forward without impacting the dates/data going back.  The only way to accomplish this feat looks like every date has to be selected and then a shift selected which is a lot of effort to setup and maintain.  Is there something I am missing here?  Maybe there is an improvement in a later version?  Thanks.
