  • 1.  Alerting PM On Resource Vacations

    Hello,

     

    My question here is How Project Manager will be notified on change in availability of resource, Please find the few use cases below.

     

    Use case 1:

    Upon agreement with Resource Manager , Resource A is allocated to Project from Jan to Dec 100%. While in the mid of executing the project, Resource A planned to take vacation for one month in the month of December, so his calendar was updated automatically through interface/or by RM in resource calendar by marking entire December as non-working days.

     

    In this case, allocation hours are reduced in December for this project

       -As allocation % remained unchanged , no Audit is captured

       -Allocation vs availability will not alert anything as it will be 0 & 0

    Please note no detailed assignments/ETC planned for this project so relaying on resource allocations. 

     

    Use case 2:

    Project Manager has planned the team of 50 members to execute the project for 3 months from now and hard booked by resource manager. Bur just before the actual execution, there were changes in availability of resources, few terminated in the mid of the project and few resource availability is reduced.

     

    In this case, Committed allocation hours are reduced for the project 

       -As allocation % remained unchanged , no Audit is captured

       -Allocation vs availability will not alert anything as it will be 0 hours & 0 hours

    Please note no detailed assignments/ETC planned for this project so relaying on resource allocations.

     

    Can you please share your thoughts on how to handle this situation

        - Can we create any resource baselines? Whom(actual resources) we planned and how much allocation hours we planned and how it is changed now

        - Can we create any alert mechanism on changes to resource availability from Clarity to Project manager.

    Hi Karthik - 

     

    I believe you can create a process with a custom gel script that will notify project managers of any change to a project, or if you just want it to be specific to a change in allocation hours.

     

    I did some searches in what should actually be in the gel script but didn't see anything. 

     

    Can anyone else assist in that?

    Hi Stephanie,

     

    Apologies for the late reply. But even for custom gel script to notify the change we don't have any baseline information to compare and capture the change, so that is the challenge. So I am wondering how others are handling resource vacations and its impacts to the allocated projects.

    If the Resource Manager is responsible, they will reviewing the user's project allocations and discussing with the PM(s)alternative resources to complete the project.  Otherwise, time to consider retraining the Resource Manager in their responsibilities.

    Yeah in ideal world  But can we create any alert mechanism from the clarity proactively to both PM and RM to initiate the discussion on replacement on alternatives?
